Annual Fund and Events Manager

Summary of Position

The Annual Fund and Events Manager is a mission-driven team member who plays a key role in engaging and stewarding annual donors, and in designing thoughtful donor experiences through events and campaigns. As one of four staff in a growing development department, this position is responsible for managing the annual giving portfolio, prospect research and supporting moves management, and overseeing the planning and execution of donor events. We’re looking for an individual who brings creativity, strong relationship-building skills, and strategic thinking to help grow and deepen our base of support.

Compensation

  • This position has a starting salary range of $78,374 to $96,758, for a four-day 32-hour work week, depending on experience and qualifications, as determined by CAF’s Compensation Philosophy Policy.

  • A 401K is offered, with a 5% employer contribution matched if employee contributes

  • Unlimited paid time off, mandatory four weeks off; paid parental leave; federally observed holidays

  • 100% employer-paid health insurance premiums, including dental and vision, with 50% coverage for dependents.

Work schedule

  • A full-time work week at CAF is defined as a minimum of 32 hours over four days. This may change in the future.

  • Illinois residence is required by the start of employment. Work is partially remote. A minimum of 1 day in the office, preferably 2 days. The office is in the West Loop. This may change in the future.

Essential Job Functions:

Individual Giving & Annual Campaigns (approximately 40% of the position)

  • Develops, executes, and evaluates multi-channel annual fundraising campaigns, including direct mail, email, peer-to-peer, and digital strategies

  • Manages donor segmentation, testing, and performance analytics to increase donor retention

  • Oversees annual fund and monthly giving program strategy and stewardship

  • Supports Director of Development with prospect research and wealth-screenings on individuals as needed


Event Strategy & Execution (approximately 25% of the position)

  • Plans and executes all fundraising and cultivation events (e.g., benefit, house parties, donor briefings), including logistics, managing vendor relationships, and run-of-show

  • Tracks event performance, ROI, and donor engagement outcomes

Stewardship & Donor Experience (approximately 15% of the position)

  • Partners with Communications and Director of Development to create donor-centric appeals, acknowledgments, and engagement materials

  • Implements creative touchpoints and impact updates for annual donors and monthly donors, including the creation of annual impact report 

  • Ensures the acknowledgement process runs smoothly and accurately (held by Development Coordinator)

Collaboration & Reporting (approximately 15% of the position)

  • Collaborates with Development Coordinator on gift processing and database hygiene

  • Tracks campaign results and prepares reports for leadership

  • Works closely with Director of Development to support strategic revenue planning for annual fund 

Other (approximately 5% of the position) 

  • Actively participate in required CAF meetings and respond in a timely manner to CAF staff communications

  • When required, participate in reproductive justice movement-building initiatives

  • Participate in and support an organizational culture that fosters deep collaboration, trust, and coordination across functional areas

Qualifications

  • Commitment to reproductive justice and abortion access for all people

  • Knowledge of intersectionality and the impact that privilege and oppression can have on people’s ability to access abortion

Experience 

  • Five years of previous work experience raising funds from individual donors, preferably in the social justice sector

  • Previous experience overseeing and executing on special events, ability to manage logistics and budgets

  • Excellent interpersonal skills, ability to communicate effectively with a wide variety of audiences

  • Experience producing and interpreting individual giving reports

  • Previous experience working with a CRM, entering data, producing queries, and reports

  • Possesses strong writing skills

  • Works flexibly, effectively manages ambiguity in a dynamic work environment

  • Works independently, self-motivated, juggles, prioritizes on their own

  • Performs under pressure, excellent time management, detail-oriented

Institutional Giving Manager

Summary of Position

The Institutional Giving Manager is a strategic, detail-oriented, and mission-driven team member who plays a critical role in managing the full lifecycle of institutional fundraising. Reporting to the Director of Development, this position is responsible for overseeing and executing the entire grants management process: from prospect research and proposal development to reporting and supporting stewardship. As a new role on a growing four-person development team, the Institutional Giving Manager will work closely with program and finance staff to ensure timely, accurate, and compelling submissions that align with funder priorities and organizational goals. We’re looking for a collaborative and proactive individual excited to build and strengthen this area of giving to advance our mission.

  • Manages the full lifecycle of foundation, government, and corporate grants, including research, cultivation, proposal writing, submission, reporting, and renewal

  • Writes clear, compelling, and timely proposals and reports in alignment with organizational priorities

  • Coordinates programmatic input and data from relevant departments

  • CRM management related to institutional giving

Prospect Strategy & Pipeline Development (approximately 20% of the position)

  • Conducts ongoing prospect research to identify new funders and partnership opportunities

  • Maintains a grant calendar and proactively manages deadlines

  • Develops cultivation strategies for top institutional prospects

Relationship Management (approximately 20% of the position)

  • Develops and implements stewardship strategies

  • Coordinates site visits, funder meetings, and updates with program and executive staff

  • Develops tailored updates, invitations, and communications

Internal Coordination & Strategy (approximately 15% of the position)

  • Works cross-functionally to align funding proposals with strategic priorities and programmatic goals

  • Supports narrative development and program language consistency across departments

  • Tracks and evaluates institutional revenue goals and impact

Other (approximately 5% of the position)

The Executive Assistant and Special Projects Manager is a mission-driven team member who provides high-level administrative support to executives, managing schedules, communication, travel, and other tasks to ensure smooth daily operations and efficient workflow. They manage special projects, act as a point of contact, manage information, and contribute to the organization’s overall productivity.

  • Due to the nature of the responsibilities, this is not a remote position. Attendance is required in a West Loop office location Mondays-Thursdays. Some CAF staff work on site, some are partially remote, and some are fully remote.

Essential Job Functions:

Executive Support and Administrative Assistance (approximately 50% of the position) 

  • Manage the Executive Director’s calendar to ensure timely follow up to all meeting requests, always promoting a sustainable pace of meetings and calls, quiet work time, and breaks

  • Provide detailed calendar management and scheduling support to the Deputy Director and Director of Development

  • Screen, prioritize, and manage responses to Executive Director’s incoming inquiries and requests, using sound judgment to ensure effective triaging and follow-up

  • Meet regularly with the Executive Director to stay informed of upcoming responsibilities and commitments, and follow up appropriately

  • Coordinate travel arrangements for Director level staff

  • Complete and file expense reports, reimbursements, invoice requests, and other accounting-related paperwork for Director level staff

  • Support the Board of Directors by scheduling meetings, coordinating logistics, handling RSVPs, keeping corporate records, and conducting follow-up with Board members as to their assignments

  • Utilize direct communication and proactive problem solving to address obstacles.

Special Projects (approximately 30%)

  • Lead or support cross-team initiatives and special projects assigned by the Executive Director, Deputy Director, or Director of Operations

  • Develop and maintain project plans, timelines, and deliverables; track progress and ensure deadlines are met

  • Conduct research, gather data, and prepare reports, proposals, or presentations to support strategic goals

  • Coordinate special project meetings and working sessions, including agendas, facilitation, and follow-up

  • Liaise with staff, partners, and stakeholders to keep projects moving and ensure clear communication.

  • Provide project, admin, logistical support for events, and site visits, and special projects as requested by department heads

  • Plan and coordinate staff celebrations 

  • Support staff, volunteer, and partner appreciation and experience efforts. 

Office Manager (approximately 20% of the position) 

  • Greet all visitors to the CAF Office, ensuring a welcoming and safe environment. Maintain a professional office environment

  • Manage general office phone lines and monitor the main info@chicagoabortionfund.org inbox, responding or directing inquiries as appropriate

  • Oversee internal and external meeting logistics, including room reservations, catering, and room setup and breakdown

  • Handle incoming and outgoing mail and packages; manage shipping and delivery needs

  • Organize, maintain, and securely store important documents, both physical and digital, in line with privacy policies

  • Oversee maintenance of office equipment and liaise with vendors and building management for repairs and office upkeep

  • Manage office inventory and supply ordering (kitchen, office supplies, furniture, tech equipment) and assist with vendor accounts payable as needed

  • Support copying, scanning, and other general administrative tasks to keep daily office operations running smoothly.

Other  (approximately 10% of the position)

  • Works pro-actively and in good faith to support and strengthen the overall stability and effectiveness of the organization

Qualifications

  • Five years of experience providing high-level administrative support to senior leadership (Executive Director, CEO, or Director level), in the nonprofit sector preferred

  • Demonstrated experience managing complex calendars, travel, and meeting logistics

  • Previous experience coordinating or managing projects with multiple stakeholders

  • Previous experience working with a Board of Directors is preferred

  • Experience managing effectively in a changing work environment

  • Previous experience with office management tasks (facilities, vendors, supplies) is preferred

  • Strong written and verbal communication skills

  • Proficiency with Google Workspace, Microsoft Office, and familiarity with database or CRM systems
